More than just abbreviations: everything you need to know about Safety Data Sheets (SDS)

SDS, FDS, MSDS? The regulatory world of chemicals is full of abbreviations that can seem like a maze. However, behind these acronyms lies the most important safety document in our industry: the Safety Data Sheet.

What exactly is an SDS?

It is not just an administrative formality. It is an essential tool for conveying vital information throughout the entire supply chain. In it, we detail everything from a product’s hazards and composition to the personal protective equipment (PPE) required to handle it safely.  In Europe, the overarching framework governing all this is the REACH Regulation. Although the structure is standardised across 16 key sections (identification, first aid, toxicology, etc.), it is vital to understand when it is mandatory to have a safety data sheet and when we must update it. 

Obligations and updates: what you can’t ignore

Under the REACH Regulation, if you place a substance or mixture on the market that is classified as hazardous under the CLP Regulation, or if it contains PBT substances (persistent, bioaccumulative and toxic), you must proactively provide the SDS free of charge.  Bear in mind the deadlines: Many people wonder how often they need to be updated. Although there is no fixed expiry date, the regulations require them to be updated whenever new information on risks or regulatory changes becomes available. For example, from 1 January 2023, only SDSs adapted to the new format set out in Regulation 2020/878 will be valid.

Why updating your safety data sheets is more critical today than ever before

In the day-to-day running of a company like ours, it is easy to view regulations as just another administrative formality. However, if the start of 2026 has taught us anything, it is that chemical safety is no longer static but has become an ecosystem that evolves almost in real time. You’ve no doubt noticed that the landscape has changed. On the one hand, we face the challenge of redesigning labels to comply with the mandatory recycling labelling requirements that came into force in January 2025. On the other hand, packaging management now requires us to ensure full traceability through extended producer responsibility systems (SCRAP), guaranteeing that every drum leaving our premises has a responsible life cycle. It is precisely on this topic that various training programmes are taking place in 2026, highlighting the importance of this step in the sustainability cycle for both suppliers and customers, such as the Scrap Fair, which was held last February.  But, above all else, there is one pillar that underpins our technical confidence: the ongoing auditing of our Safety Data Sheets (SDS). With the introduction of the European Union’s new hazard criteria, SDSs are no longer merely a compliance document; they are the compass that ensures every varnish, lacquer, or solvent you apply is handled with the precision required by current standards. Quick guide: How to read an SDS – without getting lost in the process –

A safety data sheet (SDS) is often seen as a cryptic document with 16 sections. But in practice, if you know where to look, you can get a complete overview of the product in less than a minute. Here’s a step-by-step guide on how to do it:

1. The Safety ‘Traffic Light’ System (Sections 2 and 3)

This is the first thing you should look at. In Section 2 (Hazard Identification), you will see the pictograms. Don’t ignore them: they provide a visual summary of the risks.

  • Iris Tip: Pay particular attention to the new EU hazard classes. If you see a health hazard pictogram, go straight to Section 3, where you will find which component is responsible for that classification.

2. The Emergency Protocol (Sections 4, 5, and 6)

Imagine there’s a spill or accidental contact. There’s no time to read 20 pages.

  • Section 4 (First aid): What to do (and what NOT to do, such as not inducing vomiting in certain cases).

  • Section 6 (Measures in the event of a spill): Should it be cleaned up with sand, or does it require a specific absorbent? Here’s the answer to prevent a scare from turning into an environmental problem.

3. Your Daily ‘Armour’ (Section 8)

This is probably the most important section for the operator. This is where PPE (Personal Protective Equipment) is defined.

  • It’s not enough just to ‘wear gloves’: the SDS will tell you the material (nitrile, latex, butyl) and the contact time.

  • Respiratory protection: This will tell you whether you need a filter for organic vapours (Type A) or a combined filter. At Industrias Químicas Iris, we always recommend selecting equipment suited to the specific product you are using.

4. Stability and Management (Sections 10 and 13)

  • Section 10: It tells you which other products you must never mix that varnish or solvent with, to avoid violent reactions.

  • Section 13: Essential for compliance with the SCRAP scheme mentioned earlier. It explains how to manage product waste and packaging lawfully and sustainably.
